Manage Course Lengths

Use the Configuration tab in the Curriculum Manager module to manage the course lengths that are used by your school.

Course lengths are specified by course schedules. Each course length is linked to a cycle, programme, curriculums and term types.

  1. Open the Curriculum Manager and select the Configuration tab.
  2. Select Manage Course Lengths from the right hand menu:
    • All course lengths are listed here.
    • Icons indicate the properties of each course length. The properties displayed and how they are displayed is determined by the settings in entity preferences.
  3. Use the drop-down in the top right of the screen to change the Group By setting if required.
  4. Use the filters and navigation tools to display the course lengths that you want to work with.
  5. Choose to:

Add a course length

  1. Select Add Length in the top left of the screen to display the Manage Course Lengths window:

  2. Complete the fields displayed in the Length Properties tab:

    Course Length Properties
    • Enter a clear and concise name, code and description for the course length.
    • Course Length Cycle. Use the drop-down list to select the cycle to associate the course length with.
    • Course Length Type. Use the drop-down list to select the programme to associate the course length with.
    Course Length Options

    Use the drop downs to:

    • Set the status of the course length. Selecting 'No' marks the course length as 'Inactive'.
    • Set this course length as the default. Only one course length can be marked as the 'Default'. This is preselected when working choosing course lengths in Ed:gen.
  3. Select the Curriculums tab and select the curriculums that you want to use for the course length:

  4. Select the Term Types tab and select the number of selected term types that apply to this course length. For example, in the course length of 'Year Long (UK Terms)' select '3 x UK Terms' so that the course runs for the whole school year of three terms:

  5. Select the Course Defaults tab and use the fields available to enter default values as required for:
    • Earned Credits. The number of credits earned for any new course with this length.
    • GPA Credits. The number of GPA credits earned for any new course with this length.
    • Academic Hours. The number of hours for any new course with this length.
  6. Select the Schedule Defaults tab and use the fields available to enter default values as required for:
    • Schedule Name. Enter and clear and concise name. The name entered is used for any new course schedule with this length.
    • Schedule Code. The code entered is used for any new course schedule with this length.
    • Schedule Description. This is used for any new course schedule with this length.
  7. Select Save & Close.The new course length is listed.

Change the order of course lengths

Change the order that course lengths are displayed in Ed:gen.

  1. Select Order Lengths. The Arrange Course Lengths window is displayed:
  2. A tab is shown for each programme in the module.

  3. Select the programme that you want to work with.
  4. Select a course length and use the arrows to move it up or down the list.
  5. Select Save & Close to close this window and return to the Manage Course Lengths screen.

Update course length entity preferences

Update the entities displayed for course lengths. For example, choose to display course length Description in the Manage Course Lengths screen grid.

Your entity preferences can also be configured centrally from the Manage Module Entities option.

  1. Select the table icon in the top left of the screen to display the Edit Module Entity window:

    • The Entity Properties tab displays an overview of your entity preferences.
    • The four following tabs hold property details for the entity. A count next to the tab title indicates the number of selections made in the tab.
    • The Audit tab lists any amendments that have been made to the entity.
  2. In the Entity Properties tab:
    • Entity Properties cannot be changed.
    • It is not recommended that you make any changes to Export & Import Options.
    • Filter Options indicate the number of rows displayed if filters are used for the entity. The example below has 6 rows in the filter:

  3. Work through the tabs shown to set details for the entity:
  4. Choose to change the order that any of your entity selections are displayed in the module.
    1. Select Order Entity xxx in your selected tab. A popup window is displayed, an example is shown below:

    2. Select to make a selection and use the arrows to move it up or down the list.
    3. Select Save & Close to close this window and return to the Edit Module Entity window.
  5. Any changes made to entities are listed under the Audit tab in the window:

  6. Select Save & Close to close the Edit Module Entity window. Your preferences are displayed in the Manage Course Lengths screen.

Copy a course length

Choose to copy a course length. This is useful for recreating a course length.

  1. Scroll to the course length that you want to copy and click the copy course length icon. A popup window is displayed:

  2. Complete the fields displayed in the Length Properties tab:

  7. Select Save & Close.The course length is displayed in the Manage Course Lengths screen.

Edit a course length

Update the details of a course length if required. For example, change the status of a course length currently marked as 'Active'.

  1. Scroll to the course length that you want to edit and click the edit icon. The Manage Course Lengths window is displayed:

  2. Complete the fields displayed in the Length Properties tab:

    • Schedule Description. This is used for any new course schedule with this length.
  7. Two other tabs are available, these are explained as follows:
    • Metadata. Any metadata fields set up for course lengths are listed here. Add values for the metadata fields as required.
    • Audit. Any changes made to the course length are listed here.
  8. Select Save & Close.The amended course length is listed.

Delete a course length

Remove a course length that has been added in error.

You cannot delete a course length which is active.

  1. Scroll to the course length that you want to delete and click the delete icon. You are prompted Are you sure you want to delete this course length?
  2. Select Yes. The course length is removed. A log is kept under the Logging tab for auditing purposes.
