Contract End Date

The Contract End Date field on the Job & Salary page helps you to calculate the holiday entitlement for a fixed term contract employee.

If the employee is leaving the business, then the Left Date needs to be populated.

How to add the field

Before you begin

Make sure you have a good understanding of screen designer. For more information, refer to Using the Screen Designer.

  1. Go to Job & Salary for any employee.

  2. Select Action > Configure this screen.

  3. Scroll to the bottom of the page. Select the Contract End Date field (marked with (fx)), then from the properties on the left, set the option Hidden (QB Field) to No.

    This makes the field visible on the screen when moved above any other fx fields.

  4. Drag the field into place on the screen, then select Save & Exit.

How to implement

Once the field is added, you have one of three options to choose from.

Remember to check / set the access permissions for any relevant Profiles. If you want your employees / contractors to see the field, amend their profile.

Option 1

If you already have a field for this purpose, select a future date to start using the new field. From that future date, all new data should be entered into the Contract End Date field. The previous employees can still continue to use your current process and field.

By doing this, you'll have a mix of both new and old processes when dealing with contract or fixed term contract end dates.

Option 2

Manually move all the dates from your current custom field into the Contract End Date field.

We recommend you check this with one employee first to be sure the remaining holidays are correct, and that you are happy and understand how it works.

Remove your custom field from the screen in the screen designer.

Option 3

You are happy with your current process and don't feel a need to use the new field.

How to Use

The Contract End Date only works for the current active record on the Job & Salary screen. This means we can retain the history on older job records.

  1. In the Contract End Date, enter a future date. The employee's holiday entitlement is calculated up to that date when the record is saved.

  2. To allow the employee to see the change, go to the Leaver screen > Leaver Dependency Check and select Apply next to the Holidays Remaining.

Additional Information

  • If the date in the Contract End Date is removed, the employee's holiday entitlement is recalculated to the end of the holiday entitlement year as normal.

  • If the Left Date on the Leaver screen is populated, it takes precedent over Contract End Date.

  • The Contract End Date does not change the employee status to say Leaving on x date. This continues to be controlled by the Left Date field on the Leaver screen.

  • The Contract End Date is available in Query Builder so that workflows can be triggered from it, and reports created for it. For more details about Query Builder, refer to Query Builder.

  • This feature does not make any changes to the leaver dependency checks or current absence reporting. We recommend you create a workflow to remind you that the contract end date is approaching.
