Use Contact Details for Communications

IRIS Reach is predominantly used to communicate with families. Communications are only made with person A parent, legal guardian, carer, or someone responsible for a student.s who are marked as priority 1 or have parental responsibility. As a Management Information System (MIS) can allow more than one priority 1 or parental responsibility contact, it is also possible to send communications to multiple contacts.

The following rules for apply for IRIS Reach communications:

Rules for Contact Numbers

IRIS Reach always looks to communicate using mobile numbers. In your Management Information System (MIS), if the main number for the person is a mobile number, this is used. If the main number is a landline, IRIS Reach searches for any mobile number added for that person and uses that number.

If the person has two landline numbers and one of the numbers is set to main, this number is extracted from your MIS into the system (regardless of whether it is a home or work number). If neither of the numbers are set to main, IRIS Reach extracts the number set as the home number.

If the person has one landline number and this number is set to work, IRIS Reach does not extract the number. The only time a work landline number is extracted is when the number is set as the main number.

Any primary contact options in your MIS are ignored by IRIS Reach.

Rules for Emails

In order for email addresses to be extracted by IRIS Reach, they must be added to the priority 1/parental responsibility contact in section 5 Family & Home and set as Home and Main.

If you have section 4 enabled in SIMS, if there is no email address set to Main in this section, we check for the same information within section 4 Telephone & Email Addresses.

If there is no Home email address set as Main found in either section 5 or section 4, we extract the Work and Main email address located in section 5.

Rules for Languages

IRIS Reach supports over 40 languages via an online translator which is used for text and in-app messages only. It does not translate emails, forms, microsites, letters, or digital documents.

The language setting is extracted from any First Language setting in your Management Information System (MIS) (For example, In SIMS it comes from Section 5 (Family & Home), subsection 5 (First Language)). If no language is set, IRIS Reach uses the default language of English. If you change the language on IRIS Reach directly, it does not affect the language in your MIS.
