Importing Integris Data

Do not use this process if you have the Integris Cloudlink installed as this results in duplicated data. If you are unsure, select Imports > Imports and check for any Cloudlink imports. If no Cloudlink imports exist, follow the instructions in this topic.

It is highly recommended that the Integris Cloudlink is installed to automatically synchronise data overnight and prevent the need for a manual import. The Cloudlink can also automatically import details for a staff member from Integris. For more information, go to Set Up Integris MIS Link.

These instructions should be followed if you are importing your data from Integris or if you need to view what data has been imported in IRIS ParentMail.

Create an Integris Ad hoc Report

  1. Log on to Integris. Select Reports > Ad hoc Reporting-Simple.
  2. Select Ad hoc Reports Manager.
  3. Select the Plus icon to create a new report.
  4. Enter a Name for the report.
  5. Enter a Description, e.g., IRIS ParentMail Import.
  6. Select Type as Student.
  7. Select an options from the Security section depending on whether you want to share this report or not.
  8. Select Export as the Report Style, then select Next.
  9. You now need to select the required Data Items by holding down the Ctrl on your keyboard, then select each required item in the following order:

    • Forename
    • Legal Surname
    • UPN
    • Year
    • Class
    • DOB
    • Gender
    • PG1: Relationship
    • PG1: Title
    • PG1: Forename
    • PG1: Surname
    • PG1: Email address
    • PG1: Mobile Number
    • PG1: Parental Responsibility
      • The following data items can be selected if required:
      • PG2: Relationship
      • PG2: Title
      • PG2: Forename
      • PG2: Surname
      • PG2: Email Address
      • PG2: Mobile Number
  1. When the required data items have been selected, select the right arrow (>) to insert the data items into the report.
  2. Select Next button on the next three pages, then select Finish on the final page to produce the report.

Run the Integris Ad hoc Report

  1. Select Reports > Ad hoc Reports.
  2. Select My Ad hoc Reports.
  3. Select the IRIS ParentMail report previously created.
  4. Select Class from the Select Students By drop-down list.
  5. Hold the Ctrl, then select the required class(es).
  6. Select Generate Report.
  7. The report downloads to your internet browser, select Open in the File Download window.
  8. Select File > Save As. Change file type to All Files, then enter a name to save the report as.

    We recommend saving the file as an excel workbook.

Email Data to IRIS ParentMail

When you have produced and saved the Integris data report, you need to password protect the file, then log a support ticket (a Service Cloud account is required) and attach the file. Our Support team can then format the data to make sure it is in the correct format for it to be imported in IRIS ParentMail.

Failure to follow this process results in IRIS ParentMail permanently deleting any un-encrypted information, which may delay our ability to provide support.

When the IRIS ParentMail Support Team have checked the data, we return it to you with instructions on how to import the data into IRIS ParentMail. When the data has imported, the system produces a Rejected Records report with details of any data that could not be imported and the reasons why.
