Checking all Locations Balance to Zero

The nominals and ledgers used in this topic may be different to those in your chart of accounts.

When running a Trial Balance, it is important to check the balances regularly as it makes it easier to identify multi-location entries that have been posted in error or an intracompany document that has not been posted.

This topic assumes you are familiar with running a Trial Balance.

  1. On the Trial Balance Criteria dialog, ensure the Nominal field is set to All.
  2. select the Periods tab. Select Equals fromthe Period Range drop-down list, then select the required period.
  3. When you have selected all the required criteria for the trial balance, click OK to confirm your selections.
  4. On the Trial Balance window, group the results by location. Click and hold the Location column heading, then drag it up to the Drag a column header here to group by that column message.
    If you are unable to see the Location column, right-click the column header bar, then select Location from the pop-up menu. Alternatively, if Location is already selected as a displayed column, use the scroll bar at the bottom of the window to find the column.
  5. The results in the Trial Balance window are updated to display by Location. In the Value column, the value against the location should be displayed as GBP0.00. If the amount in the Value column displays an amount other than 0.00, you need to investigate by checking for any entries that have been posted across multiple locations where no intracompany document has been used to balance the transaction.     The following trial balance displays balances in the FSP, LLL and PSF locations which would need to be investigated.
