Hiding Accounts no Longer Required, e.g. Bank, Cost Centres

Some Of the nominals and ledgers used in this topic may be different to those in your chart of accounts.

There may be occasions when certain accounts within the system are no longer required, such as a trip that has occurred, a staff member who has left, a supplier no longer in business, a cost centre that is no longer required, or nominals that are no longer used. Hidden accounts remain visible to the person within your establishment/organisation who administers your system, i.e. has a CUSTADMIN login.

Any transactions posted to these accounts are no longer visible on a trial balance or a report to anyone who does not have the NO_ACCESS security role.

  1. Select Maintenance,then select Accounts from the menu.
  2. The Select a ledger dialog is displayed. Double-select to select the required ledger.
  3. The Account Maintenance window is displayed. Select the required account within the selected ledger from the left-hand panel, then select the Security tab.
  4. Select EDIT. Editable fields are then enabled. Select Drill (...) in each of the fields in the security section in turn.
  5. The Select a role for Account dialog is displayed. Double-select to select the NO_ACCESS security role for each of the fields.
  6. When the security role has been changed for all the fields, select SAVE to apply the changes.
  7. An Update complete message is displayed. Select OK to close the message and return to the previous window.
