Generate reports

Use the pink drop-down list in the Pupil Manager module to generate reports using information listed in student and applicant records.

  1. In the Pupil Manager module, select a student records tab.
  2. Use your preferred search method to find the student records that you want to work with. The Student/Pupil Records List is displayed:
  3. Select student records using the checkboxes next to each Student/Pupil's Name. Check the box in the header bar to select all the records displayed.
  4. Select a report from the pink drop-down list (the reports available are dependent on which student records tab you are working in):
    • Students Reports. Generate reports detailing student and applicant contact information. Forward your printouts to parents to check that their details are up to date.
    • Students Notes Report. Generate a simple report of student record Notes.
    • Students Simple Report. Generate a list of students. Include basic student record information in your report, such as date of birth and form group.
    • Students Photo Report. Generate a list of student photos. Names and year groups are included in your list of photos.
    • Applicants Notes Report. Generate a simple report of applicant record Notes.
    • Applicants Report. Generate a list of applicant details. Select to view either a full report or a partial report. A partial report only includes basic applicant details.

You can also generate bespoke reports using SSRS. Contact the Help Desk if you need more help with SSRS reports.

Generate a student or applicant contact report

You can also generate this report by opening an individual student record and selecting Student Report/Applicant Report above the student's name.

The Student/Pupil Management Reports window is displayed:

  1. Select a tab and select on the report that you want to generate:

    Tab Reports

    Applicant

    Applicant Report. Use to generate a report of applicant contact information.

    Current

    Current Students Full Report. Use to generate a report of current student contact information.

    Pre Built Reports

    • Contacts Report. Use to generate a report of student contact information.
    • File Contacts Report. Use to generate a report of student contact information. Any Contact Notes listed for student contacts are also included in the report.
    • New Contacts Report. Use to generate a report of student contact information. Home and work address details are also included in this report.
  2. In Report Options select:
    • Whether to create a report per student or per family.
    • The order that records are listed.
  3. In Output Options select:
    • Whether to create your report in one file or as individual files. Select individual files if you intend to forward copies of your report to parents.
    • The format of your report.
  4. Click Create Report.
  5. Open or Save the document as required.
  6. Click Close Window to return to the student records list.

Generate a student notes report

Notes in the Pupil Manager module are for internal use only, they are only listed in the Pupil Manager module. These are different from Notes listed elsewhere in Ed:gen.

The Student Notes Report window is displayed:

  1. In the Report Format section, select your preferred format for your report.
  2. In the Select Report section, select the information that you want to include in your report.
  3. In the Select Options section, select:
    • A Date Range for the Notes you want to include in your report.
    • The Note Types you want to include in your report.
  4. Click Produce Report.
  5. Print, Open or Save the document as required.
  6. Click Cancel in the Student Notes Report window to return to the pupil records list.

Generate a student list

The Student Reports window is displayed:

  1. In the Report Format section select your preferred format for your list.
  2. Select whether to produce your student list in landscape or portrait format.
  3. Select the information that you want to include in your student list.
  4. Click Produce Report.
  5. Print, Open or Save the document as required.
  6. Click Cancel to return to the student records list.

Generate a Photo Report

  1. In the pink drop-down list select Students Photo Report. The Photo Report window is displayed:
  2. Click Print Photos to print the report.
  3. Click Close Window to return to the student records list.

Generate an applicant notes report

Notes in the Pupil Manager module are for internal use only, they are only listed in the Pupil Manager module. These are different from Notes listed elsewhere in Ed:gen.

The Applicants Notes Report window is displayed:

  1. In the Report Format section, select your preferred format for your report.
  2. In the Select Report section, select the information that you want to include in your report.
  3. In the Select Options section, select:
    • A Date Range for the Notes you want to include in your report.
    • The Note Types you want to include in your report.
  4. Click Produce Report.
  5. Print, Open or Save the document as required.
  6. Click Cancel to return to the applicant records list.

Generate an applicant detail report

The Applicant Reports window is displayed:

  1. Select to generate either:
    • Applicants Full Report. This includes information on an applicant's family, contact details and custom fields.
      or
    • Applicants Report. This only includes basic applicant family and contact details.
    The format of your report is selected for you.
  2. Click Produce Report.
  3. Open or Save the document as required.
  4. Click Cancel to return to the student records list.
