All jobs list

The All jobs list gives you an overview of your workload. There are several functions that will allow you to filter, customise and save the view, with the option to switch to the Production board.

Filters

In the All Jobs list, there are two areas for filtering:

  • The green filter buttons along the top

  • The funnels over specific columns of the jobs list

The green filter buttons will allow you to filter to specific jobs, assignees and statuses.

If you would like to add additional filters, go to Settings > General settings > Job lists and add a field to use as a filter. Once you have made your changes, select Save.

The column filters allow you to filter by flags and stars, the job date and key dates.

Flags / Stars  

Highlight specific jobs for others, or for yourself, to see by using flags and stars, found in the first two columns of the jobs list.

  • Flags are seen by everyone in your practice

  • Stars are visible only to you  

Once flags or stars are applied, you can use the funnel to filter by Flagged, Unflagged, Starred and Unstarred.

Custom views

Once you have customised your jobs list using filters, you may wish to save a custom view for all users to access.

Please note: You must have Admin permissions to do this.

To save a custom view, go to Custom view > Save view as, enter the name of your custom view and select OK. This will now show in your Work menu with the other custom views.

Senta has three default custom views which you can use:

  • Compliance jobs - this list contains any outstanding jobs relating to compliance such as payroll, VAT returns and Accounts production. If you would like to add more jobs to this list, use the Jobs filter to select more jobs and then select Save changes.

  • Production board

  • Ready jobs

If you would like to remove a custom view, go to the custom view and select Custom view > Delete view > Confirm.

Bulk actions

There are several actions that you can perform in bulk that are available on the All jobs list.

  1. Go to Work > All jobs and use the check boxes to select the jobs you wish to perform a bulk action on.

  2. Go to the Actions drop-down menu and select the bulk action you need. You can:

    • Change date - this option will allow you to change the job date in bulk.

    • Cancel jobs - you can cancel several jobs at once.

    • Uncancel jobs - if you cancel jobs by mistake, no need to worry - you can uncancel them via the All jobs list too.

    • View as client list - all the clients that are selected on the All jobs list will be displayed in a Client list format instead. From here you can add columns to view additional information about your clients or perform bulk actions such as Send email.

Switch to the board view

  1. Go to the List drop-down and select Board.

Job summary

The Jobs summary is a graphical view of all current and upcoming jobs in progress on your workspace. It can be useful for getting an at-a-glance look at your practice's workload within a given time period.

  1. Go to Work > Jobs Summary.

  2. From here, you can filter the graphical view to show certain types of job, and also set a particular time period to view.

Set where jobs appear in the Jobs summary

  1. Go to any job template and select the Dates tab.

  2. Choose a key date from the Date for reports drop-down list. By default the reporting date is set to be the same as the job date.
