Apprentice Under 25

You can flag Apprentices who are under 25 in HR and sync this to Payroll via the Payroll > Integration > Static Data area. To enable users to do this we have added the following fields to the Employee >HR > Job & Salary Screen:

  • Apprentice Under 25

  • Apprenticeship End Date

Using these fields will highlight the employees who need to be moved to National Insurance Category H in Payroll, ensuring that the employee's National Insurance is deducted at the correct rate.

How to add the field

  1. Go to the Job & Salary screen for any employee.

  2. Select Action > Configure this screen.

  3. Scroll to the bottom of the page. Select the field marked with (fx), then from the properties on the left, set the option Hidden (QB Field) to No.

    This makes the field visible.

  4. Drag the field into place on the screen, then select Save & Exit.

Enabling Payroll Integration

To enable payroll integration:

  1. Go to Payroll > Integration.

  2. Select Static Data > Configuration.

  3. Select Edit against Pay Record Apprentice Under 25.

  4. Set the master source to HR .

  5. Then select the check box against either Manual / Auto synchronise .

  6. Once complete select OK.

  7. Complete the same steps for Pay Record Apprenticeship End Date .

The apprentice information will now be synchronised across from HR when the record has been updated.

 

Payroll Calculate Messages

Payroll Calculate Message will be triggered to prompt the user to amend the employees National Insurance Category in the following circumstances:

  • If the employee is under 25 and the ‘Apprentice Under 25 Field’ in the Pay Record is set to Yes and the employee isn’t on NI Category H

  • If the employee is over 25 and the ‘Apprentice Under 25 Field’ in the Pay Record is set to Yes and the employee is on NI Category H

  • If the employee is under 25 and the ‘Apprenticeship End Date’ has passed and the employee is on NI Category H

  • If the employee is over 25 and the ‘Apprenticeship End Date’ has passed and the employee is on NI Category H
