Link Cashless Accounts to Till Systems

The cashless linking tool should be reviewed after every import or user update to ensure the profiles on your till system have been linked with your organisationIRIS ParentMail records. If accounts have not been linked, users are not able to top up an account balance for a student.

  1. Select Payments > Cashless Account Linking.

  2. The Cashless Account Linking page is displayed. If no accounts are displayed, then all accounts have been correctly linked.

    An import of new users should be uploaded before updating any tills, to avoid a bulk of manual account linking however, till providers can scan accounts automatically to link together. This depends on the till provider.

  3. To connect accounts, enter the name of the student in Link to PMX User adjacent to the Cashless Name you want to link.

    An account is not linked automatically if there is a difference in details, so in the case of a student called Alex on the till system and Alexander on IRIS ParentMail, this would cause the match to reject. When linking the profile, the system advises you of the difference to check if you want to proceed.

    Select Hide to hide an account that you cannot or do not need to link. This may be required for leavers or duplicate old cashless accounts. If required, select Show Hidden Accounts to display the details that have previously been hidden.

  4. Select Save Changes. The accounts are linked the next time the till communicates with IRIS ParentMail.
