Create an Event or Meeting

Events such as bake sales, fetes, fundraisers, meetings, and so on, can be created and managed in IRIS ParentMail.

To create such an event, do the following:

  1. Go to Events > Create.
  2. Enter a meaningful Event Name.

    Event names are displayed to attendees in the IRIS ParentMail app.

  3. Enter the Start Time and End Time for the event — select the provided boxes to bring up the date picker.
  1. If the student or staff member name is known, use the search bar to locate them immediately.

    When sending event invites to parents or carers, you always choose the student as the recipient.

    If the name is not known, use the Categories tree to drill down to the required user.

    To choose all members of a category, select the relevant category.

  2. Select all required contacts, then select Confirm.
  1. Enter the Location details for the event, such as, Sports Hall, Mail Hall, and so on.
  2. (Optional) Enter any Notes about the event.
  3. The Additional Options pane allows you to control the event messages:

    • Requires confirmation of attendance — Attendees must confirm they are attending. Select an option from the Event Attendance Options drop-down to specify which attendees need to confirm:

      Student Event (Confirmation required of student attendance)

      All selected attendees are students and event message recipients must confirm attendance.

      Configure the date range that the booking window is open for.

      If required, set a limit for the number of places available to book (0 = unlimited places)

      Parent Event (Confirmation required of parent attendance)

      All selected attendees are parents and event message recipients must confirm attendance.

      Configure the date range that the booking window is open for.

      If required, set a limit for the number of places available to book (0 = unlimited places)

      Parent and Student Event (Confirmation required of parent and student attendance)

      All selected attendees are parents (students are inferred) and event message recipients must confirm attendance.

      Configure the date range that the booking window is open for.

      If required, set a limit for the number of places available to book (0 = unlimited places)

    • Repeating event — The event occurs more than once.
      • From Repeat Interval, choose how often the event repeats (Daily, Weekly, 4 Weekly).
      • From Repeat Until, choose when the repetition ends (Forever, Specific Date). If Specific Date is selected, select the provided box to bring up the date picker.
    • Send automatic reminders — Send reminders to the attendees about the event.
      • From Reminders, select how the reminders are sent (SMS Only, Email Only)
      • From Reminder Time, choose when the reminders are sent out (12 hour before, 1 day before, 2 days before, 1 week before).
  4. When you have entered all the required event details, select Save.
