Common Import Errors

Unable to Open RptDef File

Due to the format of the file, you do not need to view the content or open the file. The RptDef file is only recognised by SIMS when you import it.

You need to save the required RptDef file to your computer for the data you want to import. For more information, go to Importing Data.

Invalid CSV File

If you are receiving the error message This .csv file is invalid for imports, check .csv headers when importing data, this is usually due to the report column headers being incorrect or missing.

If you are not entering a specific set of details, for example, House Address details, you can leave the details blank but you must not remove the column or headers in the file you are importing.

For each data file you are importing, the headers should be in the following order:

Student Parent Report

SIMS Imports

If the Student ID, Contact ID, Staff ID, Tutor ID, and Teacher ID columns are missing in the data report, this is due to the staff is missing Third Party Reporter permissions in SIMS. The staff member running the SIMS report needs to the Third Party Reporter, Personnel Officer, and Admin Assistant SIMS permissions set.

Integris Imports

If you have run a manual report from Integris and are importing this in IRIS ParentMail, the formatting of this report is incorrect. You need to log a support ticket (a Service Cloud account is required) to send this data file to IRIS ParentMail before it can be imported.

Import the Rejected Records Report

If you have attempted to import the Rejected Records Report after correcting the incorrect data, make sure you have removed the Status and Reason. The column headers in the report need to match the original report headers.

Merged Year Groups

Year groups and student data can be merged if the Summer Roll Up process was not followed correctly.

To resolve this you need to:

  1. In IRIS ParentMail, select Groups > Create New Group.
  2. The Create a new group window is displayed. Enter Leavers in Group Name, then select Year Groups are from the Select a Group Type drop-down list.
  3. Select Save. A success message is displayed. Select OK to display the Groups page.
  4. Select Manage Group Members to display the Contact Book. Select User Types from Categories, select Student, select the required students, then select Confirm.
  5. The selected students are displayed in the group details.
  6. Next, import the student data from your Management Information System (MIS) again. For more information, go to Importing Data.
  7. After the data has been imported, your students should be back in their correct year groups and your leavers in the in the Leavers group you created. You can then delete the students in the Leavers group. For more information, go to Remove Users.

User Not Displayed in IRIS ParentMail

If you have added a new person or staff member that are not displayed in IRIS ParentMail after a manual import or an overnight synchronisation has been completed with your Management Information System (MIS), you need to check the following:

  1. If you have an MIS Link set up to sync with IRIS ParentMail, check the link is set up and working correctly. For more information, go to Linking to a Management Information System (MIS).
  2. Data might have been rejected due to a specific reason. To find the reason the import failed, select Imports > Imports, select the most recent file (should be listed at the top of the list with the previous day date), select CSV to open the Rejected Records Report. For more information, go to Run Rejected Records Reports .

Unable to access MIS Link tab

If MIS Link is select but the page does not load, you do not have the applicable permissions to access it. Contact the person who administers your IRIS ParentMail system to provide access. For more information, go to Activate MIS Integration Permissions.
