Amending a Posted Budget

Budget virements are used to show the transfer of budget income or expenditure from one nominal and account to another after the budget comes into force. This is only required if you think you might need to audit this information in the future.

If you need to report on virements, you will need to contact the Support Desk as there is currently no reporting facility for virements.

  1. Select Options > Budget Amendments from the menu bar.
  2. The Budget Amendments dialog is displayed. Ensure the required budget is selected from the Budget drop-down list.
  3. Click in the Nominal field and enter the first nominal to be changed (or double-click and select the required nominal from the List of Nominals dialog).

  4. You will then be prompted to select the required ledger account. Any Actuals or Commitments will be displayed.
  5. Click in the Change field and enter the amount the budget should be adjusted by (if you are crediting the budget, ensure that you enter a minus value).
  6. You must then balance this line by selecting the required nominal and account to contra adjust the budget. In the following example, an additional line has been added to debit the English department books budget by £200. The Balance field at the bottom of the dialog must show a zero balance as shown in the following graphic.

  7. You can continue to post additional virements as long as the balance is zero. Click the Post button to complete the process. The previous example will credit the Geography cost centre with £200 and debit the English department by £200.

When the virement has been posted, it creates an entry on the database. The Support Team will be able to extract this from the database for you as there is no reporting function on these transactions.
