Setting up Purchasing Authorisation Emails

All approvers receive an email advising them that a requisition or purchase order generated in IRIS Financials Purchasing requires their authorisation (providing an email address has been provided).

The email can either include a copy of the requisition/purchase order as an attachment (negating the need to log in to IRIS Financials Purchasing to authorise) or display a hyperlink to the document requiring authorisation.

This setting can be amended as follows:

  1. Go to Maintenance > Accounts from the menu.
  2. Double-select to select the PARAMETERS ledger from the Select a ledger dialog.
  3. The Account Maintenance window is displayed, labelled according to the selected ledger. Scroll down and select WFATTREPORT - Workflow Attach Purchase Order Report, select the Analysis Fields tab, then select EDIT.
  4. Attach Report should be selected if you want to attach the requisition or purchase order to the email in addition to links to authorise or reject (negating the need to login to IRIS Financials Purchasing). Attach Report should be deselected to include a link to the applicable requisition or purchase order in the email. The email recipient then needs to login to IRIS Financials Purchasing in order to authorise or reject the document.
  5. Select SAVE.
  6. An Update complete message is displayed. Select OK to close the message and return to the previous window.
