Adding Analysis Fields to a Ledger

Analysis Fields (previously User Fields), can be used to store additional information relating to an account, for example approver details, additional email addresses, etc.

Viewing and modifying analysis fields are determined by Security Roles. If you need access to analysis fields but are unable to access them, please contact the person within your establishment/organisation who administers your system, i.e. has a CUSTADMIN login.

When a new analysis field has been created, it can be added throughout the software on various windows that have an Analysis Fields tab by adding a new analysis field. If the analysis field has not been created, this needs to be completed before it can be added to the Analysis Fields tab. For more information, please see Maintaining Analysis Fields.

  1. Select Maintenance, then select Ledgers from the menu.

  2. The Ledger Maintenance window is displayed. Select the required ledger from the left-hand panel, then select the Analysis Fields tab.

  3. If there are existing analysis fields linked to the ledger these are displayed in the Title panel. If the are no existing analysis fields, select the link displayed in the Title panel, or select ADD NEW, then select ANALYSIS FIELD.

  4. A <New item> is displayed in the Title panel and automatically selected. Select Drill (...) in Analysis field, then double-select to select the required analysis field from the Select an analysis field dialog.

  5. (Optional) To make the analysis field mandatory for completion in an account, select Mandatory.

  6. Where the analysis field is positioned in the list of linked analysis fields is determined by setting a position. Select the up-down buttons, or enter a number in Position, for example, 1.

  7. When all the details for the analysis field have been entered, select SAVE.

  8. An Update complete message is displayed. Select OK to close the message and return to the previous window.
