PS People Version 2.24.2 Release (January 2024)

This topic provides information about new features and fixes in this version of PS People.

Update Software

To install the updates:

  • If you are a PS Cloud customer, log a support ticket (a Service Cloud account is required) requesting the update. Our support team will contact your to arrange accessing your Cloud server and installing the updatesthis release will be made automatically by the PS Cloud team.
  • If you are an On-premise customer, you must download and install the updates.

Release Notes

New Features

Further Education Workforce

The Department for Education (DfE) have made the following changes to the FE Workforce Census: 

  1. Corrected typo on ParticipatedInDfEProgramme on the entity relation diagram set out in FE Workforce staff record specification 2022 to 2023
  2. Corrected the field definition of employment start date to be start date with the provider (not contract start date)
  3. Clarified that either salary or hourly rate must be supplied for every staff member
  4. Reviewed the 'not know' guidance section in line with changes made — this is only available in some areas within the collection set out below. The 'not known' options are split into two categories: 
    1. Not known — Employee chose not to disclose
    2. Not known — Unable to find the answer (for example, the staff member has left the organisation)

    These options should only be used where a provider is unable to collect the data and the DfE will be monitoring its use. It is expected that this is used in a minority of cases.

  5. The not known option has been removed for Highest Teaching Qualification

The following improvements have been made in PS People for the Further Education Workforce (FEW) Census

  • Highest Qualification Taught now only contains the relevant options
  • The following data can now be imported when configuring the FE Workforce Census using the relevant import template:    
    • FEW Employees — imports details into Staff Details, Job Role (except the Role and Sub Role), and Teacher Data (except the DfE programme), and Contract

      The import must only contain one row per employee. Any existing data is overwritten by the imported data.

    • FEW Roles — imports details into Role and Sub Role

      The import must contain no more than 5 roles for an employee, with a row for each Role and Sub Role.

    • FEW DfE Programmes — imports details into DfE programme

      The import must only contain one row per employee.

    Download the FEW Employees, FEW Roles, and FEW DfE Programmes templates. The download is a zipped file containing all the download templates. Each template contains example data that must be removed before importing the data.

  • The data available for FEW Employees, FEW Roles, and FEW DfE Programmes can now be reported on using the Query tool

Personnel

  • To make sure working days or hours are calculated correctly when staff members book one day of annual leave, the entered AM and PM dates are now checked to make sure: 

    • The start date is not in entered in PM
    • The end date is not entered in AM
  • The following options have been added to CPD in Training on HR Records, and are also available in Training Event in Staff Development:
    • T = Teaching
    • O = Other
    • N = Not Required
    • I = Industry Updating
    • G = General

School Workforce Census

  • To meet Department for Education (DfE) requirements, absences that are less than half a day are now rounded up to 0.5 School Workforce Census XML submission file
  • Workflow

    Exception query is now available for any workflow process

    Fixes and Updates

    Further Education Workforce

    Employees with no data in FEW Employee Details can now be excluded from the FE Workforce Census by selecting Exclude Submission in their HR Record

    Payroll

    • Resolved issues within opening the Loans, Savings and Attachments Report
    • Authorisation Centre audit report now opens correctly when authorising This Period Pay imported data
    • LA Number and Establishment Number now correctly populate from location file in the MCR Submission for single locations
    • Scheme Contributions Report is now available by default
    • Pensionable pay is no longer assigned to unassigned in the MCR — Back Pay submission

    Portal

    • An error message is displayed when visiting a page without a menu item causes Portal to stop responding
    • Resolved issues with caching errors displaying when submitting entries in Portal

    Workflow

    When the line manager field has been added to workflow emails, the line manager name now displays correctly in the received messages
