Tasks

Introduction

The Task Posting screen allows a task to be posted to different Staff Members or yourself as a reminder. A subject and main details to the task can be entered and it is possible to link the client I.D. in question as a reminder. To post a Task the relevant privileges need to be selected on the Staff member Allowed tab.

 

The Task will then go to the selected staff members for review and eventual completion.  If a task has been created via the on-screen billing Draft facility you will see an Attachment option at the top-right of the Task.

The View Task screen is identical to that of the Post Task screen. If you own, have been assigned or have privileges to edit tasks you can change all the details of the task. If a Task is marked as private and you are not the assignee nor the owner then you will not be able to see any details or change any.

 

Posting Tasks

The steps below will assist with posting tasks within Practice Management:

  1. Open Practice Management.

  2. Select the Task tab.

  3. Click New.

  4. Select staff member to assign the task to.

  5. Select Status, Due date, Client (if required) and a reminder can be set on the task by ticking the box on this screen.

 

Task Reminders

A feature within tasks is to set reminders. This can be done on Task creation or whenever needed. View the task and then tick Reminder. The boxes to the right will become active and a date can be entered with a time for the reminder will occur.

When logged in to PM then a prompt will appear on the screen. With this prompt the task can be viewed with access to all details. Alternatively the task can be Snoozed, which will set the reminder for later, or Dismissed the task which takes the reminder off.

If PM is not open the next time the user logs in it will display all outstanding prompts. To cancel the reminder View the task and then take the Tick out of reminder. Alternatively Dismiss from the Reminders screen.

 

Rules for Reminders

Unless the reminder field has been explicitly cleared by the user (by un-checking the reminder checkbox), reminders are set automatically for due dates greater than today.

 

Task Audit

  • It is possible to view changes made to tasks within Practice Management.  

    To View the details of the Task Audit you will need to:

    1. View the Task.

    2. Click Audit.

    To see details added to the Audit:

    1. View a Task.

    2. Change the Subject heading (or one of the main fields).

    3. Click OK.

    4. View the Task again.

    5. Click Audit.

    6. You will then see details of the change made to the task.

     

    Task Reporting

    This report allows a look at all tasks posted on the system. Search for tasks assigned to the current login only or use this as an overview for other staff members’ tasks.

    The report can be run to look for tasks associated against a particular client and also variations of the report can be memorised for future use.
