e-Checklist Status screen

Introduction

The e-Checklist Status screen is the main tool for managing all e-Checklists created.

The Status Screen is where e-Checklist are edited prior to uploading; re-wording questions and adding/removing sections to tailor the checklist to the client. e-Checklists can be uploaded to IRIS OpenSpace and monitored; that is, when clients have started working on them, when they have been completed and finalised. Once finalised, e-checklists can be download and printed. The client data can then be inputted into IRIS Personal Tax.

 

List of e-Checklists and Statuses

This screen displays a list of e-Checklists, showing: the tax year they relate to, the current status and the last time the status was changed.

The list of statuses include:

Not Uploaded

An e-Checklist has been created for the client, but it has not been uploaded to IRIS OpenSpace yet.

While in this status, the e-Checklist can be edited; by re-wording questions and adding/removing sections to tailor the e-Checklist to the client.

Not Started

This status is set when the e-Checklist is uploaded to IRIS OpenSpace. It indicates that the e-Checklist has been successfully uploaded and that the client has not yet made any changes.

In Progress

This status is set when the client makes their first change. It indicates that the client has successfully logged into IRIS OpenSpace and has answered at least one of the questions within the e-Checklist.

Finalised

This status is set when the e-Checklist is marked as Finalised by the client. It indicates that the client has fully completed the e-Checklist and has sent it back to the accountant.

At this point the e-Checklist becomes read only; the client cannot make any further changes while the accountant is verifying and importing the data into their tax software.

Imported

This status is set once the e-Checklist has been imported into IRIS Personal Tax.

Disconnected

This indicates that the software cannot connect to IRIS OpenSpace to check the status of the checklist.

It may be, for example, that there is no internet connection or the staff member that is logged in has not entered an IRIS OpenSpace username and password.

Missing

This indicates that an e-Checklists has been found in IRIS Personal Tax, but the corresponding e-Checklist cannot be found in IRIS OpenSpace.

It may be because the e-Checklist has been deleted from IRIS OpenSpace or a database has been restored from a backup, leaving IRIS Personal Tax and IRIS OpenSpace out of sync.

 

Filters, Selection Criteria and Refresh Button

Refresh Button

In the top left corner of the window is the refresh icon . When clicked, this will update the list of e-Checklists below. It is important to click this after you have changed the selection criteria, so that you see the updated list. When the refresh icon turns red , the selection criteria has been changed but the list has not been refreshed to reflect the changes.

Selection Criteria

To the right of the refresh icon are selection boxes, used to restrict the list of e-Checklists to only display those that belong to a particular Partner, Manager or Client Category.

 

Filters

Filters are used to restrict the list of e-Checklists to only display those which belong to a particular tax year, or status.

For example, you might use this to show a list of finalised e-Checklists for the current tax year, so that you can begin work on entering the data into IRIS Personal Tax.

 

 

View/Edit

This option displays a screen which allows you to view an e-Checklist. It shows the client’s tax figures from last year and current year (if they have been entered).

It also shows any attachments which are associated with the e-Checklist.

From here you are also able to edit the e-Checklist by re-wording questions and adding/removing sections to tailor the checklist to the client.

Upload

This option allows you to upload an e-Checklist to IRIS OpenSpace, so that the client can begin answering the questions and populating the e-Checklist with their current year tax figures.

An email is automatically sent to the client when an e-Checklist is uploaded, notifying them that they can login and start populating it.

Print

This will print the entire e-Checklist in a readable format – it can be used to take a hardcopy of an e-Checklist.

Delete

This will delete the e-Checklist. If an e-Checklist has already been uploaded to IRIS OpenSpace, you can still delete it, however you may want to notify your client that it has been deleted.

Import

This will open a screen allowing you to import a finalised e-Checklist into IRIS Personal Tax. Prior to importing, you have an opportunity to review and select which fields to import.
