How to insert a Tag into an AutoMail template

Introduction

IRIS AutoMail uses ‘tags’ in a template to merge details from the client database. For example, if you have inserted a client name ‘Smiths’ on a client and you’d like AutoMail to merge these details when you generate an AutoMail letter, you’d need to insert the client name tag into an AutoMail template.

There are two steps to adding Tags in a Word template:

Step 1 - Select the tags in the Tag Selection Screen

Step 2 - Add the tags to the Word template

 


Step 1 - Select the tags in the tag selection screen

The Tag Selection screen opens at the same time as the Microsoft Word document template. At this point both screens can be used simultaneously to create and save the template.

To select the Tags in the Tag Selection Screen:

  1. From IRIS Main Menu, click IRIS AutoMail.

  2. The IRIS AutoMail - Letter Request browser screen displays. From the toolbar, click Templates.

  3. The AutoMail - Letter Template Maintenance screen displays. Highlight your template and from the toolbar, select Edit to edit the template.

  4. The template displays. Toggle on the Field codes (press ALT + F9 on your keyboard). For more information, click here.

  5. Minimise MS Word, the Tag Selection screen displays.

    Any tags that need to be inserted can be done via the Tag Selection screen. These are then available to be entered in MS Word.

    To select the tags in the Tag selection screen, for example, the Clients Identifier and the Partner Identifier you would need to open the following folders:

    1. The Particular Client | Common, select IRIS Client Identifier

    2. The Particular Client | Common | Partner responsible for Client, | select Identifier within IRIS

  6. Click Refresh.

  7. Maximise MS Word.

  8. Place the Cursor where you would like to enter the tag. For example, to enter the Client ID, you would place the cursor at the top of the page.


Step 2 - Add the Tags to the Word template

Microsoft Word 2007/2010

  1. Click the Mailings tab. In the Write & Insert Fields section click on the Insert Merge Field down arrow.

  2. Click on the Tag that you would like to enter in the document. For example the Client Identifier, this will be displayed as LMCLIrisIdentifier
    This will be displayed in the document as { MERGEFIELD LMCLIrisIdentifier }

  3. Place your cursor where you would like to add the Partner Identifier. Select the Mailings tab in the Write & Insert fields section, click on the Insert Merge Field down arrow.

  4. Click on the Tag that you would like to enter in the document. For example the Partner Identifier, this will be displayed as LMCLPartnerIdentifier

    This will be displayed in the document as { MERGEFIELD LMCLPartnerIdentifier }

  5. Once all the tags have been entered in the document, minimise MS Word.

  6. The Tag Selection screen displays. Click Save and close.

Microsoft Word 2003

  1. Click the Insert Merge Field icon (located on the left of the Insert Word Field in the task bar above the document).

  2. Click on the Tag that you would like to enter in the document. For example the Client Identifier, this will be displayed as LMCLIrisIdentifier
    This will be displayed in the document as { MERGEFIELD LMCLIrisIdentifier }

  3. Place your cursor where you would like to add the Partner Identifier. Click Insert Merge Field (located on the left of the Insert Word Field in the task bar above the document).

  4. Click on the Tag that you would like to enter in the document. For example the Partner Identifier, this will be displayed as LMCLPartnerIdentifier
    This will be displayed in the document as { MERGEFIELD LMCLPartnerIdentifier }

  5. Once all the tags have been entered in the document, minimise MS Word.

  6. The Tag Selection screen displays. Click Save and Close.
