How to insert (YOUR) References into AutoMail templates

Introduction

It is possible to set up your template so that references can either automatically be filled out, or prompt you to enter a reference when you generate a reference.

This guide explains how to set up "Your Ref" to the template. This is a reference that the client can quote to identify himself/themselves to you. For example, you may want to be prompted to enter a reference when generating the letter. You would like to enter ABC123 as the reference for the letter.

It is possible to set up the template so that information can be entered at the time of generating the letter.

 

You will need to edit the template, to do this:

  1. From IRIS Main Menu, log into IRIS AutoMail.

  2. The IRIS AutoMail - Letter Request browser screen displays, select the Templates icon on the toolbar.
    The AutoMail - Letter Template Maintenance screen will be displays.

  3. Highlight your template and click Edit  on the toolbar to edit the template.

  4. The template will be displayed, toggle on the Field codes (press ALT F9 on your keyboard. For more information, please read Knowledge Based Article 1490).

  5. Place your cursor where you would like to enter the Reference.

Microsoft Word 2007/2010

  1. Click the Mailings Tab, in the Write & Insert Fields section, click on the Rules down arrow.

  2.  Select Fill-in...

    The Insert Word Field: Fill-in screen will display.

  3. In the Prompt: section, enter the text the user will be prompted by. For example "Please enter Your Reference".

  4. In the Default Fill-in Text section , enter (if required), a default entry for the fill-in field. For example, the words "Your Ref:". Click OK to confirm the details entered.

  5. The system will then display how the prompt will look. You will see the details that you have entered. For example, "Please enter Your Reference" and in the field it will hold "Your Ref:".

  6. Click OK to insert the fill-in code into your document.

  7. On the MS Word document the FILLIN will be displayed as follows:

    YOUR REF: { FILLIN "Please enter Your Reference" \d "Your Ref:"}

  8. Minimise MS Word and click Save in the Tag Selection Screen.

Microsoft Word 2003

  1. Click on the Insert Word field button (Located on the task bar above the document).

  2. Select Fill-in...

    The Insert Word Field: Fill-in screen will display.
